Job Description:

Planned Activity Scheduling Specialist

Remote role

Contract: 1-3 years before FTE conversion


Our client is seeking a Planned Activity Scheduling Specialist to support daily operations as the primary contact for service representatives. In this role, you will manage resource scheduling, dispatching, work order creation and troubleshooting, spare parts distribution, and service appointments. You will interact directly with customers to schedule proactive service activities, ensuring efficient utilization of field resources while balancing customer needs and availability.


The position requires maintaining accurate documentation, identifying and recommending process improvements, and fostering effective communication within the team and with stakeholders. As part of a newly formed team, you will have the opportunity to drive change, improve customer experience, increase instrument uptime, and help standardize and enhance operational processes. The ideal candidate is highly organized, adaptable, and thrives in a dynamic, feedback-driven environment. Occasional evening scheduling may be required to support various time zones. MINIMUM QUALIFICATIONS

  • Associate’s Degree with at least 1 year of previous customer service experience, or more than 3 years of customer service experience
  • Proven ability to make quick and effective independent decisions
  • Strong organization and planning skills; ability to handle multiple functions simultaneously
  • Efficient and effective oral and written communication skills; demonstrated customer communication experience
  • Intermediate computer skills, including advanced functions in various software packages
  • Ability to develop expert product knowledge in assigned areas
  • Team player who is assertive when needed and comfortable with uncertainty
  • Strong people-oriented skills and active participation in an agile, feedback-driven culture

PREFERRED QUALIFICATIONS

  • Bachelor’s Degree in a related field with at least 2 years of previous customer support experience
  • Experience with direct customer communication, including negotiating and making trade-offs regarding appointment times, receiving feedback, and determining escalation needs
  • Experience with process improvement initiatives
  • Previous experience with SAP, Salesforce, ServiceMax, and ServiceNow CRM platforms
  • Proficiency with Google Suite, specifically Google Sheets, Docs, Slides, and Forms

RESPONSIBILITIES

  • Act as the primary point of contact for service representatives regarding scheduling, dispatching, work order creation and troubleshooting, and spare parts distribution
  • Respond to inquiries and troubleshoot issues related to resource scheduling and service appointments
  • Communicate directly with customers to schedule proactive service activities, ensuring efficient use of field resources while balancing customer needs and availability
  • Maintain excellent workload management by balancing multiple tasks efficiently while ensuring a high level of service quality
  • Maintain accurate documentation in accordance with established guidelines to support operational integrity
  • Identify areas for process improvement and recommend corrective solutions to enhance operational efficiency
  • Proactively communicate with teammates, stakeholders, and leadership to foster collaboration and continuous improvement
  • Embrace change with a positive attitude and contribute to shaping the future of the team and organization
  • Support evening scheduling responsibilities on occasion to accommodate various time zones (anticipated to be rare)
